The Scandinavian ApS and The Scandinavian Golf Club, as data controllers, are committed to protecting your personal data when you, as a member or guest, use The Scandinavian and the services we offer. We strive to ensure you feel secure about our handling of your personal data.

We process your personal data in accordance with this personal data policy and applicable legislation.

As part of the Personal Data Act, we must ask for your consent to allow The Scandinavian ApS and The Scandinavian Golf Club to store your data for the purpose of managing your membership at The Scandinavian and using The Scandinavian's facilities.

You must also grant The Scandinavian ApS and The Scandinavian Golf Club the right to share your data with third parties that process your data in connection with your membership.

The Scandinavian ApS and The Scandinavian Golf Club are data controllers, and we ensure that your personal data is processed in accordance with legislation.

Registration and contact information such as name, gender, address, membership start date, phone number, date of birth, email address.
Membership information such as handicap history, 10-round cards, tournament registrations, tee time bookings, ball pairings.

We collect information about you in the following cases:

When you register as a member of The Scandinavian Golf Club.
When you participate in other activities organized by The Scandinavian ApS or The Scandinavian Golf Club.
When you otherwise wish to use the facilities of The Scandinavian ApS and The Scandinavian Golf Club without being a member.

Typically, we receive the information from you upon registration. In some cases, there may be other sources:

National sports organizations (primarily DGU & DIF).
Golf clubs (e.g., in case of a club transfer).

When you register as a member of The Scandinavian Golf Club or wish to use The Scandinavian's facilities, we collect a range of information about you to manage your membership and/or your use of our facilities, as well as to offer and deliver relevant services to you. We also use your information to:

Respond to specific inquiries from you.
Inform you about special member offers and specific membership benefits.
Manage your membership in accordance with requirements from the Danish Golf Union via GolfBox A/S.
Provide access to our communication platforms (www.thescandinavian.dk).
Send newsletters regarding your membership.

In this context, we only collect necessary information about you, such as name, address, date of birth, phone number, email address, current golf handicap, membership number with the Danish Golf Union, and your previous/current golf club.

Your personal information is only processed and stored if you have voluntarily provided it, for example, by filling out a registration form, through the referral system, participating in an event, entering into an agreement related to The Scandinavian, your Member Account, your Corporate Account, or when you contact us with questions via email or phone.

The Scandinavian notes that the website www.thescandinavian.dk is owned and managed by The Scandinavian ApS, and any information you voluntarily provide in connection with the use of the website also falls under this personal data policy.

3. PURPOSE OF DATA PROCESSING

The Scandinavian ApS and The Scandinavian Golf Club process your personal data for specific purposes when we have a lawful basis. Lawful bases for processing include:

The legitimate interests of The Scandinavian ApS and The Scandinavian Golf Club in processing your information (balancing of interests).
When necessary to fulfill a contract with you.

Suppliers we collaborate with to provide services related to the management of your membership and/or your use of our facilities (e.g., suppliers of services, tools, and support, including those related to member offers).
Other third parties in connection with the management of your membership and/or use of The Scandinavian ApS and The Scandinavian Golf Club, including GolfBox A/S (owner of the GolfBox application).
If required by law, a court order, or applicable legislation. Sharing will only occur to the extent and with those necessary to perform the service you request, such as creating or booking a tee time or establishing a membership with The Scandinavian ApS and The Scandinavian Golf Club.

We do not share personal data with companies for marketing purposes without your consent.

5. HOW DO WE PROTECT YOUR PERSONAL DATA?

We have implemented reasonable technical and organizational security measures to ensure that your information is not accidentally or unlawfully deleted, disclosed, lost, degraded, accessed by unauthorized persons, misused, or otherwise processed in violation of the law.

Our security procedures and processes are continuously reviewed to ensure reasonable technical and organizational security measures. In practice, it is not possible to establish 100% security, and we cannot guarantee that the information is completely protected against anyone who deliberately attempts to bypass our security measures to access the information. In this regard, we must inform you that your membership with The Scandinavian ApS and The Scandinavian Golf Club is conditional on you providing the information required in our registration form, which is necessary for us to register you as a member and manage your membership.

7. HOW LONG DO WE RETAIN YOUR PERSONAL DATA?

At The Scandinavian ApS and The Scandinavian Golf Club, we only store your personal data for as long as necessary to provide the services, tools, and benefits you have requested, for as long as necessary for a legitimate purpose (such as managing your membership), or for as long as required by law.

We therefore delete your personal data on an ongoing basis as the purposes for which they are processed are completed, for example, by reporting to GolfBox A/S (in the GolfBox application) that you are no longer a member.

We will retain your personal data for a period following the termination of your membership in accordance with the following criteria. For practical and administrative reasons, we retain your general membership information for up to 5 years after the calendar year of your termination.

8. WHAT HAPPENS WHEN WE UPDATE THIS PRIVACY POLICY?

We continuously update this personal data policy to ensure that we provide you with the most accurate information possible and to ensure compliance with applicable legislation. This means that we will regularly update and amend this personal data policy. In the event of significant changes, we will notify you via email. The current version of this personal data policy can be requested at any time by contacting The Scandinavian at contact@thescandinavian.dk.

We reserve the right to make changes to this privacy policy from time to time. When changes are made, the date at the top of the privacy policy will be updated. The current privacy policy will be available on our website at all times. You will be notified of significant changes.

9. CONSENT

Most often, our processing of your personal data will be based on a lawful basis other than consent. We therefore only obtain your consent when it is necessary in rare cases to process your personal data for the purposes described in this policy.
